  1. Purpose
To standardize SKU (Stock Keeping Unit) creation across all customers so that product identification, inventory tracking, and order fulfilment are accurate, consistent, and efficient within our Warehouse Management System (WMS).

  1. What is an SKU?
An SKU is a unique alphanumeric code assigned to each distinct product in your inventory. It helps differentiate products by size, color, packaging, or variation, and ensures no duplication or confusion during warehouse operations.

  1. General Rules for SKU Creation
  • Uniqueness – Every product variant (size, color, flavor, pack size, etc.) must have its own SKU.
  • No Special Characters – Only use letters (A–Z), numbers (0–9)Avoid spaces, slashes (/), or special characters (#, %, &, ?).
  • Keep it Short & Clear – Maximum 10 characters. Easy to read and remember.
  • Consistency – Use the same structure across all products.
  • No Reuse – Once assigned, do not reuse old SKUs for new products.
  • Align with Packaging – If an item comes in multiple pack sizes (e.g., Box of 12, Carton of 24), each must have a separate SKU.

  1. Recommended SKU Structure
[Company] - [Brand/Code] – [Product Type] – [Attributes] – [Pack Size]
Example Format: Company : Bonlife Brand Code : Goherb Product Type : Reneicare Attriutes : Box Pack Size : 30S SKU : BLGHRC30S Product Name: GoHerb, Reneicare, Box, 30s, 15g

  1. Attribute Guidelines
  • Colors: Use standard short codes (e.g., BL = Black, WH = White, RE = Red, BL = Blue).
  • Sizes: Use standard short forms (S, M, L, XL, XXL).
  • Measurements: Use metric system (ML, L, G, KG, CM).
  • Quantity/Pack: Use numbers followed by unit (e.g., 6PC, 12S, 24PK).

  1. Common Mistakes to Avoid
❌ SKU too long (e.g., “NatureLishChocolateMilk250mlCarton12”)
❌ Using special characters (e.g., “ABC/TEE#BLACK@L”)
❌ Different structures for similar products (e.g., “ShirtBlueM” and “TshirtMBlue”)
❌ Reusing SKU for a discontinued product

  1. Approval & Upload Process
  • Customer prepares SKU list in Excel/Google Sheet following this guideline.
  • Submit SKU list to the 3PL warehouse team for review.
  • Warehouse verifies format and uploads SKUs into WMS.
  • Any correction requests will be returned to the customer before approval.

  1. Benefits of Following This Guideline
  • Faster inbound receiving and putaway.
  • Zero duplication or mislabelling in WMS.
  • Easier stock tracking and reporting.
  • Accurate picking, packing, and order fulfilment.
  • Professional and standardized inventory structure across all customers.

? Note: Customers who do not follow this guideline may experience delays in stock receiving or order processing.
